Employee Records & SMS Privacy Policy

Information we collect

• An employee’s name, mobile phone number, position, and assigned route information.
• Employee compliance documents provided directly to the company, including a driver’s license or state ID, Social Security record, training certificates, medical records, abstracts, and other required personnel documents.
• SMS consent, opt-out requests, delivery status, and communication history.
• Limited security and access information needed to protect the owner-only company dashboard and File Vault.

How we use employment documents

Identity and compliance documents are collected only to create and maintain the employee’s legally required personnel and transportation-compliance file, verify employment eligibility or qualifications, and support authorized company recordkeeping.

These documents are not displayed publicly. Access is limited to authorized owner access through the separately locked File Vault.

How we use mobile information

We use mobile information only for legitimate company operations, including route or schedule updates, weather delays, work confirmations, training reminders, safety notices, and other transportation-related communications.

Message frequency varies. Message and data rates may apply. Consent to receive SMS messages is not a condition of employment, and employees may continue to obtain information directly from the company office.

Mobile information is not sold or used for marketing

First Choice Tranz LLC does not sell, rent, or share mobile phone numbers or SMS opt-in information with third parties or affiliates for marketing or promotional purposes. Mobile information may be provided to Twilio, mobile carriers, and other service providers only as necessary to deliver and support the requested communications, protect the service, or comply with law.

Text messaging originator opt-in data and consent will not be shared with third parties for their own marketing purposes.

Your choices

Recipients may reply STOP to any message to stop future SMS messages. Reply HELP for assistance or call 845-321-9037. Employees who opt out may continue to receive operational information directly from the company office.

Protection and retention

Employee document images are encrypted before storage, kept outside the public website, and made available only through authenticated owner access and the separate File Vault passcode. File access may be logged for security review.

We retain employee information only as long as needed for employment, company operations, security, recordkeeping, or legal obligations, after which it is deleted or securely de-identified when practical.
